Creation of Student Organisation Email

L2_11_Admin_Creation of Email

All Student Organisations are required to have an organisation email account to ensure a secure and centralised repository for the group’s communications and documents. This facilitates smoother handovers between successive Executive Committees, as leaders can refer to a shared account and storage space.

Examples of materials that should be stored in the organisation email account include (but are not limited to):

  • Event proposals
  • Archives and records
  • Membership lists
  • Passwords to the organisation’s social media accounts (stored securely)

Due to the sensitive nature of these documents, all records should be kept within the NUS system to ensure data security.

Instructions

1. Each Student Organisation is limited to a maximum of seven (7) NUS email accounts.

  • It is recommended that at least one account serves as the general inbox, which can be shared with key members. This general account will also function as the organisation’s primary storage space.
  • If more than seven accounts are required, please write in with justification, as email accounts should not be underutilised.

2. Each email account must be tagged to at least one student.

  • Each account may be logged into a maximum of five (5) devices
  • For shared accounts, all senders should sign off their names when sending emails to ensure accountability.

3. Friendly email addresses should not include “nus”, as the domain already ends with @u.nus.edu.

Refer to the table below for examples and naming conventions.

Account Number Student Organisation Friendly Email Display Name
SCBXXXXXX (Example: president.computingclub@u.nus.edu) (Example: Computing Club, President)

For password resets or changes to the display name, please write to osastudentemail@nus.edu.sg. We will need an exco member and staff to verify this request.
